Google Calendar

We play different roles in our lives. We have a personal, professional and family life. So under each category we have different tasks to complete. When all the tasks come together, there are high chances that we miss out a lot of important things and also feel difficult to manage all at once. This leads to a lot of complications at times.

Until a year back I was also feeling the same. After a little research on how to manage time and get tasks done, I came across "Google Calendar" app on my phone. Though this app is available in almost every phone we do not know how to use this wisely. We only know that its a calendar which shows the month, day and date. But there is more to that.

If there is a crucial task to be completed for the day, I either write it down on a book or some apps like Trello, Google Keep or Google Calendar. Google calendar helps me set a reminder for the task along with adding a comment. I can set a reminder for a couple of hours before the actual task or event so that I'm reminded well in advance and I can plan other tasks accordingly. Reminders can be like a notification on your phone or in the form of an email. Since we carry our phones with us wherever we go, it’s good to keep reminders on phone. This may be one way to  make us lazy but then it’s helping us complete our tasks. Let's understand how useful this app can be.

Suppose I get up in the morning and I have a couple of office tasks to complete. I open Google Calendar on my phone and set tasks for specific hours and also set a reminder 2 to 3 hours prior to the actual time. Then, I start getting ready to work and Mom asks me to purchase groceries on my way back home. So I set a task accordingly and also set notification during lunch and around the time I'm leaving office as I'm sure I'll check my  phone around that time.

Then, when I'm on my way to the office, I meet an old  friend of mine. He invites me to a very important function at his place which is next week. I open the app and check if I'm free and accordingly set the task and a reminder to be sent a couple of days before as well as a day prior so that I don't miss it out. If incase, I have a busy schedule that particular day but the tasks scheduled are not important when compared to this function, then I  reschedule other tasks to fit this task in the list.

After I reach office, I check my office calendar to see the tasks for the day and work accordingly. When I take a short break or a long break, I look at my phone and personal calendar to see if I have any notifications to remind me of upcoming tasks . This is when I'm reminded of getting groceries before I reach home. Then, when my shift comes to an end and when I'm moving out of the campus, I look at my phone and I have this notification waiting for me to look at it and remind me that I need to buy groceries before I reach home. Finally, I get down at my stop and buy groceries and go back home. I have successfully completed all my tasks for the day.

There are times in our life where we might miss out on our tasks even after doing all the planning. There can be various reasons for it but I'm sure by doing the above activity, the chances will be less. Try this as an exercise. Initially you may forget to add tasks but once you keep doing it for multiple days, you will get used to it.
